MACV Foundation is an Arizona 501(c)(3) nonprofit organization serving veterans and their families. We take the privacy of the people we serve seriously. This policy explains what information we collect through macvfoundation.org, how we use it, who we share it with, and the choices you have. By using this website or submitting the Get Help form, you agree to this policy.
1. Information We Collect
Information you provide. When you submit our Get Help form, we collect your name, date of birth, email address, phone number, and a description of the assistance you’re seeking. If you contact us by email, phone, or through other foam on this site (such as newsletter signup, volunteer, or donation forms), we collect the information you choose to provide.
Information collected automatically. Like most websites, our site (hosted on Wix) automatically collects limited technical data such as IP address, browser type, device information, pages visited, and cookies used for site functionality and analytics. See Section 8.
2. How We Use Your Information
We use the information you submit through the Get Help form for one purpose: to help you. Specifically, we use it to:
- Contact you about your request
- Evaluate your needs and eligibility for programs and benefits
- Navigate and connect you to appropriate resources, including federal, state, county, and municipal agencies, VA programs, nonprofit organizations, and private service providers
- Maintain records of the assistance we provide
- Follow up to make sure you received the help you needed
We use contact information from other forms to respond to inquiries, send newsletters you’ve requested, and process donations. We do not use your information for advertising.
3. How We Share Your Information
We never sell, rent, or trade your personal information. Ever.
We share your information only in these circumstances:
With your consent, for referrals. Connecting veterans to services is the heart of what we do. When we refer you to a partner agency or provider (for example, the VA, a housing program, a treatment provider, or a legal services organization), we share only the information needed to make that referral, and only with your knowledge and consent. Records held by substance use treatment programs are further protected by federal confidentiality law (42 CFR Part 2), and those programs cannot redisclose your information without your written consent.
With service vendors. We use trusted third-party platforms to operate this website and our organization, including Wix (website hosting and form processing), Google Workspace (email and document storage), and Zeffy (donation processing). These vendors process data on our behalf under their own security and privacy obligations.
When required by law. We may disclose information if required by law, court order, or lawful government request, or when necessary to prevent imminent harm to you or others.
4. Sensitive Information and Confidentiality
Requests for help sometimes involve sensitive subjects, including health, mental health, substance use, housing status, financial hardship, and legal matters. MACV Foundation is not a healthcare provider and is not a HIPAA covered entity. However, we handle all personal information to a strict confidential standard consistent with the privacy principles of HIPAA and other federal protections for personally identifiable information (PII). Access is limited to the staff and volunteers who need it to assist you.
5. Data Security
We take reasonable administrative and technical measures to protect your information. Our website uses SSL encryption for data transmitted through our forms. Information is stored on secured platforms with access limited to authorized personnel. No method of transmission or storage is 100% secure, but we work to protect your information as if it were our own.
6. Data Retention
We retain Get Help submissions and case-related records only as long as needed to serve you, comply with legal and grant requirements, and document our services. When information is no longer needed, we securely delete or destroy it.
7. Your Rights and Choices
You may at any time:
- Request a copy of the personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your information, subject to legal record-keeping requirements
- Withdraw consent for future referrals or communications
- Unsubscribe from newsletters using the link in any email

8. Cookies and Analytics
Our website uses cookies and similar technologies provided by Wix for essential site functions and basic analytics (understanding how visitors use the site). You can control cookies through your browser settings. Disabling cookies may affect some site features.
9. Children’s Privacy
Our services are directed to veterans and their families. This website is not directed to children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has submitted information to us, contact us and we will delete it.
